Privacy notice
How we look after your information.
Last updated: September 2026
We're a small club and we'd rather you knew exactly what happens to your details than had to guess. This page says what we collect, why, who sees it and what you can do about it. It's written to meet the UK GDPR and the Data Protection Act 2018, but in plain English.
Who we are
Full Life Fitness Ltd, trading as Full Life Fitness, is the data controller for the information described on this page. That means we decide what's collected and why, and we're responsible for looking after it.
- Full Life Fitness Ltd, company number [to confirm]
- Suite 2, Drake House, Drake Lane, Dursley, Gloucestershire, GL11 4HH
- Email: jack@fulllifefitness.co.uk
- WhatsApp: 07943 184654
- ICO registration: [to confirm]
This notice covers our website at flf.strongersystems.uk (which will become fulllifefitness.co.uk) and the ways you might contact us about training with us.
What we collect, and when
When you fill in a form on the site
Our enquiry form, contact form and next-steps quiz ask for some or all of the following:
- Your name, email address and phone number.
- Anything you write in a message box.
- Your answers to the quiz questions about your training goals and where you're starting from.
- Marketing attribution: how you found us, such as UTM parameters in the link you clicked and the page that sent you to us (the referrer).
When you message us on WhatsApp
We see your phone number, your WhatsApp profile name and whatever you send us. WhatsApp itself is run by Meta and has its own privacy policy, which applies to the app on your phone.
When you come in
At your first session we'll talk through what you want, what hurts and what you've tried. We write down what we need to coach you safely, including anything about injuries or health. There's more on this under "Health information" below.
Tracking and cookies
The site runs a small tracking script from LeadConnector (part of HighLevel, the system we use to keep in touch with people). It records which pages you look at and links a form you send to the pages you visited before it, so that when you get in touch we know what you'd already read. It sets a few cookies in your browser to do that. They're LeadConnector's cookies and they last for as long as LeadConnector sets them to; we don't control the lifetimes.
We also set one cookie of our own, called flf_lead. When you send the enquiry form it carries your name, email and phone to the next page so we don't have to ask you for them again. It's deleted after two hours.
Cloudflare, which hosts the website and keeps it fast and safe, keeps short-lived server logs. These include your IP address, browser type and the pages requested. That's standard for any website and we don't use those logs to identify you.
You can block or clear cookies in your browser settings. The site will still work if you do, although the enquiry form may ask for your details twice.
Why we use it, and the legal basis
Data protection law says we need a proper reason for using your information. These are ours:
- To reply to you and set up the 21 Day Trial. When you enquire, we use your details to get back to you, answer questions, book your first session and take you through the trial. The legal basis is that it's necessary to take steps at your request before entering a contract, and then to perform that contract.
- To coach you safely. We use what you tell us about injuries and health to plan sessions that suit you. This is special category data and we ask for your explicit consent to hold it.
- To run the club. Keeping records of who trains with us, answering messages, keeping the website working and understanding where enquiries come from. The legal basis is our legitimate interest in running a small business well, balanced against your interests, which we've considered and think is fair.
- To send you marketing. After you've enquired we send email and WhatsApp or SMS follow-ups about the 21 Day Trial. We do this on the basis of your consent. You can stop it at any time: click the unsubscribe link in any email, or reply STOP to any message. We'll act on that straight away.
- To meet legal obligations. Occasionally the law requires us to keep or share something, such as for tax records or if a court orders it.
Who we share it with
We never sell your information and we never pass it to anyone to market to you. It's shared only with the people and services we need to run the club:
- HighLevel / LeadConnector. The customer relationship system where your details, messages and follow-ups live. Provided by HighLevel Inc., based in the USA.
- Cloudflare. Hosts the website, protects it and speeds it up. Based in the USA with servers worldwide.
- Our coaches. The coach who trains you needs to know your name, contact details and anything relevant to coaching you safely.
All of these are bound by contracts that say they can only use your information to provide their service to us.
International transfers
Because HighLevel and Cloudflare are American companies, your information may be stored or processed in the USA. Where that happens we rely on standard contractual clauses approved for UK use, together with the UK's International Data Transfer Addendum [to confirm]. If you'd like a copy of the safeguards that apply, ask us.
How long we keep it
We keep your information for as long as we need it for the reasons above, and no longer.
- If you enquire but don't train with us: [to confirm]
- If you train with us: for as long as you're a member and for [to confirm] afterwards
- Health information: [to confirm]
- Financial records: as required by tax law, currently six years.
When we no longer need something we delete it or make it anonymous.
Health information
We ask about injuries, conditions and anything else about your health that affects how you should train. We do this so we can coach you safely, adapt movements and know what to watch for. Information about your health is what the law calls special category data, so it gets extra care.
- We only hold it with your explicit consent, which we'll ask for when you start.
- We only collect what we need to coach you. We won't ask for your medical history for the sake of it.
- Only your coaches see it.
- You can withdraw consent at any time by telling us. If you do, we may not be able to keep coaching you safely, and we'll talk that through with you honestly.
Your rights
You have rights over your information. You can ask us to:
- Access what we hold about you and get a copy.
- Correct anything that's wrong or out of date.
- Erase it, where we no longer have a good reason to keep it.
- Restrict how we use it while a question about it is sorted out.
- Port it: give you the information you provided in a format you can take elsewhere.
- Object to our using it where we rely on legitimate interests, and always to direct marketing.
- Withdraw consent at any time, where consent is the basis we rely on. That doesn't affect anything done before you withdrew it.
To use any of these, email jack@fulllifefitness.co.uk. We'll reply within a month and we won't charge you. We may need to check it's you first.
If you think we've got something wrong, please tell us so we can put it right. You also have the right to complain to the Information Commissioner's Office at ico.org.uk or on 0303 123 1113.
